When we talk about brand identity, email signature is often overlooked. The email signature serves as reminder to your email receiver who you are, what your company is and what values it represents. However, it can be confusing to implement your well-designed HTML signature to different email platforms. Let's find out how you can set up your email signature across different platforms, especially Odoo!

Open your HTML file on a browser.
Right click on your signature HTML file and select a browser to preview your signature. Check if your signature is showing correct information and the links are linking to the correct URL.

Open your HTML file in code format.
Right-click on your browser interface and click "view page source". A new tab will reveal the HTML code behind the signature. Highlight all the code and copy it to your clipboard.
If you are using Safari, there will be extra steps needed to access the page source. You can read more here.
You can also copy the code from your preferred code editor.

Set up your email signature in Odoo.
Now, we can start moving the signature into your Odoo database! Head to your production database and turn on the developer mode.
To activate the developer mode from anywhere in the database, add ?debug=1 to the URL after /web (e.g., https://example.odoo.com/web?debug=1#action=menu&cids=1). To deactivate it, use ?debug=0 instead.

Go back to the Odoo database backend main page. Select "My Profile" by clicking on your thumbnail in the top-right corner. You will find the email signature selection under "Preferences".
3.1
Open Odoo's email signature code interface
Highlight any content inside the email signature textbox, you will see a toolbar pop out from the highlighted content. You should be able to see the code icon ( </> ) at the end of the toolbar, click to enter the code editor interface.
If your email signature textbox is empty, type any character and highlight the content.
3.2
Copy your HTML code into Odoo's code editor interface
Remove all original signature code and paste your signature’s HTML code. Then, click the code icon ( </> ) in the right corner of the input field.
This will bring you back to the preview mode.

Preview your new signature and save it
Check out your amazing signature in the preview mode, and don't forget to save it!

Set up your email signature in Gmail.
4.1
Open Gmail's email signature interface
Sign in to your Gmail and click the gear button in the top-right corner. It will open the "Quick settings" overlay, click the “See all settings” button to enter the settings interface. Select "General" and keep scrolling until you see "Signature".
If you have never used a Gmail signature before, you will need to click the "create new" button and create a signature that will store your email signature style.

Copying email style into Gmail signature interface
Return to the HTML file preview of your browser tab, highlight all content (or Command+A for Mac / Ctrl + A for Window ) and copy to your clipboard. Remove ALL previous signature content (or create a new signature), then paste your content into the signature box.
Don't forget to select "Signature defaults" to choose which email signature to display when there are new emails/ on reply/ forwarding emails.
Why select different signatures for different emails?
For example, you can set up a fancy email signature with a promotion banner for new emails, while keeping a simple email signature for on reply/ forwarding emails. This way, you will not see replicated email signature banners within an email thread.
Scroll to the bottom and click “Save Changes” to save with your new signature.

Preview your new signature and save it
Draft and send yourself a new email to see if the signature has been properly set up in your Gmail.

Set up your email signature in Outlook.
5.1
Open your Outlook signature interface
Click the gear icon in the right-corner of toolbar to enter settings. Select "Mail" from the leftmost column, then select "Compose and reply" in the sub column. You can see the email signature comes as the first item in "Compose and reply" section.

Copying email style into Outlook signature interface
Return to the HTML file preview of your browser tab, highlight all content (or Command+A for Mac / Ctrl + A for Window ) and copy it to your clipboard. Remove ALL previous signature content (or create a new signature), then paste your content into the signature box. Click the "Save" button in the bottom-right corner.
5.3
Select default signatures for different purposes
After saving, you can then see your new signature appears on the dropdown menu of the Select default signatures → For New Messages or For Replies/Forwards. Select your preferred signatures in different situation and hit "Save" again.
